Adela is seeking a Facility & Office Coordinator who will be responsible for ensuring the smooth day-to-day operation of office and laboratory facilities. This role serves as a key on-site coordinator, managing vendors, supporting office activities, maintaining inventory, acting as the primary point of contact for IT and facilities issues, and assisting with the receipt and handling of laboratory materials, including patient samples. The ideal candidate is highly organized, service-oriented, and comfortable working in a regulated laboratory environment. This is a part-time role reporting to the Sr. Director of Lab Operations, based in Foster City, CA, with a schedule of up to 20 hours per week, Monday through Friday from 9:00 a.m. to 1:00 p.m. PT.

Essential Duties and Responsibilities

  • Serve as the primary on-site contact for facilities across office and laboratory spaces. Coordinate and oversee vendors (maintenance, cleaning, equipment, utilities, security), including scheduling, site access, and follow-through on repairs and service requests.
  • Manage day-to-day office operations, including inventory, supply ordering, mail handling, and maintaining clean, organized shared spaces. Support employee experience through onboarding/offboarding logistics, workspace setup, and general office support.
  • Coordinate and support on-site meetings and events, including room setup, catering, vendor coordination, and ensuring conference rooms are functional, well-maintained, and equipped with appropriate IT support.
  • Act as liaison between employees and IT for basic coordination (device setup, troubleshooting escalation, equipment deliveries).
  • Coordinate shipments and deliveries, including laboratory materials, supplies, patient samples, and event materials, ensuring proper handling, storage, and compliance with safety and confidentiality requirements.
  • Support facilities and safety operations, including emergency preparedness, safety inspections, first aid/EHS maintenance, and routine equipment servicing (e.g., HVAC, generator). Maintain accurate records for vendors, inventory, and site operations.
  • Partner cross-functionally with Finance and Operations on inventory tracking, invoices, expense reporting, and cost-related initiatives, with opportunity for expanded scope over time.
  • Perform additional duties as needed to support site operations and team effectiveness.

Work Experience & Skill Requirements

  • High School Diploma with 3+ years of experience in office management, facilities coordination, or a similar role.

  • Experience working with vendors and managing on-site services

  • Strong organizational and multitasking skills with high attention to detail.

  • Excellent interpersonal and communication skills.

  • Comfortable working in a laboratory-adjacent environment.

  • Ability to be physically present on-site and assist with deliveries and inventory management.

  • Occasional flexibility in hours to accommodate deliveries or vendor schedules.

    Preferred Qualifications:

    • Experience supporting office, laboratory, biotech or life sciences environments.

    • CFM or FMP Certification.

    • Experience with inventory management systems.

The hourly range for this position $25/hour to $30/ hour USD. This range reflects only the base salary component of compensation and is provided in compliance with applicable pay transparency requirements. Actual base hourly rate will be determined at the Company’s discretion and may vary based on a number of factors, including but not limited to geographic location, relevant experience, skills, qualifications, internal equity, and business needs.
