Job Description

TITLE: Facilities Operations Supervisor – Soft Services AREA: UK Operations (Oxford)

POSITION SUMMARY:

The Facilities Operations Supervisor is responsible for managing the soft services operations at Oxford Research, reporting to the Manager, Facilities Operations. The position involves supervising the facilities operations including coordinating with senior management.

The role holder is expected to demonstrate excellent administration, communication, interpersonal and customer services skills with all levels of the operation and have excellent working knowledge of soft services, including cleaning, reception, events, food hygiene, facilities management, EH&S and associated duties.

KEY RESPONSIBILITIES:

Facilities

  • Oversees facilities soft services ensuring all activities are well coordinated with other functional groups, including health & safety compliance.
  • Proactively develops areas of responsibility, interacting with all relevant departments as required.
  • Coordinates and services with optimal efficiency, on time and within budget.
  • Assist with evaluating and optimizing processes and services, through monitoring KPIs.
  • Assist with holiday and absence cover for site Facilities Management.
  • Occasionally required to travel, be on-call or attend/supervise out of hours works.
  • Perform other duties as required by business needs and occasional cover for team members.

General Administration

  • Assist with administrative duties such as formulating scopes of work, raising purchase requisitions, invoice verification, filing, scanning and archiving.
  • Using in-house systems such as ServiceNow (Helpdesk), Vertex U (Training), vShipping (Courier), Concur (Expenses).
  • Assist with other general duties and ad-hoc tasks as required by operations management team, including assisting budget planning, forecasting and month end accruals.

Environment, Safety & Security

  • Participate as part of operations emergency team, including assisting the evacuation and investigation process.
  • Participate as part of operations BCP team; Responds to emergencies as part of incident, fire or business continuity teams.
  • H&S compliance for areas of responsibility ensuring all documentation is up to date and correctly filed.
  • Keep informed of relevant EH&S codes and regulations to ensure site is statutory compliant.
  • Contributes to the Environmental Management Program. Assists with establishing new initiatives to increase awareness and Vertex’s commitment to environmental sustainability.

TECHNICAL, MANAGERIAL AND COMMUNICATIVE SKILLS:

  • Strong communication skills at all levels including key stakeholders and senior management.
  • Collaborative nature with proven ability for excellent customer service and achieving buy-in from other functional groups.
  • Excellent awareness of health, safety and environmental legislation relevant to the role.
  • Reliability and strong independent judgment to make decisions respond quickly in emergencies and adapt to meet deadlines in a fast-paced environment.
  • Good knowledge of services in facilities environments and ability to launch new initiatives.
  • Has excellent soft services knowledge & facilities skills required to fulfil the role.

PREFERRED EDUCATION AND EXPERIENCE:

  • Relevant background in facilities services specialising in soft services.
  • BIFM, or relevant qualification.
  • ISOH Managing Safely as minimum.
  • Proven track record in soft services facilities management with a practical hands-on approach and knowledge.

Flex Designation:

On-Site Designated

Flex Eligibility Status:

In this On-Site designated role, you will work five days per week on-site with ad hoc flexibility.
