About the role
We are seeking a detail-oriented, strategic, and mission-driven individual to join our team as a Senior Executive Assistant, reporting to the Chief Executive Officer. You will be responsible for the administrative support of the CEO and other designated senior executives as required from our Seattle, WA site. In this role, you will be a trusted partner and advocate to deliver against the priorities of the business and support the team and culture of Sana.
What you’ll do
- Provide administrative and operational support primarily to the CEO, as well as assigned executives, including travel arrangements, submission of expense reports and calendar management
- Coordinate with Sana Executive Team (SET) team members all weekly meeting logistics (virtual or on site or at other company office sites including all relevant meeting materials, catering, badge access coordination, etc).
- Manage Board meeting scheduling, travel coordination as needed, liaise with Board members directly, or on occasion with their admins on special needs or requests, occasionally manage Board Member meeting expense reimbursements and meeting room, technical set up, catering, Board dinners, etc. Ensure that all on site and virtual Board meetings logistics operate smoothly
- Coordinate and plan conference attendance, typically for Investor Relations and CEO Conference events, including scheduling of third-party meetings and venues, etc.
- Serve as the primary liaison between the senior executives and internal and external parties – including Board members - on all matters, including highly confidential and sensitive matters, demonstrating leadership to maintain trust, credibility, and advocacy for the executive team
- Respond to all inquiries and requests in a timely and professional manner
- Partner with other Sana Administrative team members to ensure continuity and coordination of administrative backup throughout the organization
- Strategic thought partner to executive for priority management, and to provide flawless execution on current and upcoming activities
- Perform other tasks and special projects as assigned, on occasion provide site support for leadership or employee events as needed
What we’re looking for
- 7+ years of experience supporting executives and their leadership teams and Board interactions, ideally at a high growth company with advanced calendar and team management experience
- Demonstrated motivation, perseverance, and confidence by solving problems, planning proactively, taking initiative, and delivering results by operating with autonomy
- Exceptional administrative partnership skills with an ability to drive initiatives forward and establish trusted relationships amongst executives and a wide range of stakeholders
- Ability to execute and operate at a fast pace with focus and structure to situations as needed. Effectively manage high-pressure situations when present and pivot in an environment with a high level of ambiguity
- Innovative and creative thinker who can quickly and effectively identify new and better ways of working and suggest sustainable and scalable solutions
- Exemplary time management skills and the ability to identify and anticipate executives’ needs
- Engage with a high level of professionalism across a broad range of stakeholders, including external stakeholders while organizing complex meeting engagements
What you should know
- Working safely in person on a predictable and regular basis is an essential job function for this position, and the position is based in our Seattle offices
- The base pay range for this position at commencement of employment is expected to be between $140,000 and $200,000/year; however, base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience
