ABOUT THE ROLE:
The Office Manager will organize and coordinate office administration and procedures to ensure organizational effectiveness, efficiency, and safety. This role requires a high level of organization, communication, and problem-solving skills to support the company’s operations. The Office Manager is required to work in the office daily and may require occasional overtime or weekend work. Are you passionate about enhancing the employee experience? What you will do:
- Office Administration:
- Oversee and manage office layout and ensure a clean and tidy office environment.
- Organize office operations and procedures.
- Partner with the landlord for building safety and operations.
- Maintain the kitchen cleanliness and stock of beverages, snacks, utensils, plates and food for the office.
- Manage the ordering, set up and clean up of daily lunch.
- Manage office supplies inventory and place orders as necessary.
- Maintain office equipment and arrange for necessary repairs.
- Receive, organize and distribute mail and packages.
- Manage office budget and expense reports.
- Monitor and record office expenditures.
- Front Desk Operations:
- Greet employees and other visitors ensuring security protocols are maintained.
- Arrange hospitality services for guests such as transportation, tickets, and/or hotel.
- Receive and direct incoming calls and voicemails to appropriate personnel.
- Manage the company swag inventory and ship to new employees.
- Ensure the office remains compliant with all regulations and company policies.
- Organize company events, meetings, volunteering, etc.
- Perform other duties as assigned.
What you will bring:
- Bachelor’s Degree preferred.
- 5+ years of experience as an Office Manager or Front Office Manager.
- Knowledge of office administrator responsibilities, systems, and procedures.
- Proficiency in MS Office (MS Excel and MS Outlook, in particular).
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational and planning skills in a fast-paced environment.
- A creative mind with an ability to suggest improvements.
