As the Sales & Accounting Administrator of the Cytek Japan Corporation, you will play a pivotal role in overseeing all administrative duties, be responsible for a variety of finance and accounting related tasks aligning with the corporate finance requirements and support the Japan sales team with their customer order process. To perform this job successfully, an individual must be able to perform essential duties and responsibilities satisfactorily.

Finance and Accounting Duties (45%)

  • Record financial transaction in NetSuite.
  • Preparing financial statement and reports
  • Reconciliating bank statements, inventory, and payment within NetSuite.
  • Prepare Japan finance data for the monthly financial and annual financial report.
  • Support local staff on using time management expense report though Jobcan and audit expense report for accuracy.
  • Support the Japan employee onboarding and offboarding in partnership with an external payroll provider RSM; audit monthly payroll report.
  • Prepare document and required signature for the annual shareholders and board meetings.

Sales Administration Support Duties (45%)

  • Enter customer orders in NetSuite, manage customer order packing, shipping, and invoicing process.
  • Manage the service part ordering through NetSuite.
  • Support the sales team in other administrative duties on as needed basis to ensure smooth operations.

Office Administration Duties (10%):

  • Manage office and lab supplies inventory and place orders as necessary.
  • Receive and sort incoming mail and deliveries and manage outgoing mail.
  • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports.
  • Manage company seal and bank book in secure manner.


The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • Bachelor’s degree, preferably in business administration or related field.
  • 3-5-years’ experience in general account duties, knowledge of the US P&L accounting standard
  • Minimum 3 years of experience in sales administration, knowledge of logistics coordinate to support overseas import a plus.
  • Proficient in English (verbal and writing)
  • Ability to manage priorities and workflow.
  • Strong interpersonal skills
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.
  • Proven ability to handle multiple tasks/ projects and meet deadlines.
