People Operations

Benefits & HRIS Manager

Location: Remote (For Non-Local) or Hybrid (Local to NYC area)

Position Summary:

The Benefits and HRIS Manager is responsible for day-to-day benefits and HRIS administration and compliance. This role partners with People Operations team members and their customers to analyze work process design and flow, improve processes and leverage the return on technological capabilities. This position also serves as a technical point-of-contact ensuring data integrity, testing of system changes and analyzing data flows for process improvement opportunities.

Position Responsibilities:

Benefits

  • Manages and administers all leave programs.
  • Document and maintain administrative procedures for assigned benefits processes.
  • Ensure compliance with applicable government regulations.
  • Prepares special reports by collecting, analyzing and summarizing information and trends.
  • Ensure timeliness and accuracy of required reporting and fees.
  • Manage life events benefits processing and approvals.
  • Ensures timely enrollments, COBRA, terminations, changes, accident and death claims and compliance testing.
  • Maintain up to date materials for benefits vendors on company intranet.
  • Responsible for managing and maintaining open enrollment timelines.
  • Responsible for ACA reporting.
  • Responsible for annual tracking and reporting of FSA forfeitures.
  • Verify and reconcile benefits data to ensure compliance with company policies and procedures.
  • Conduct regular audits to ensure the accuracy and completeness of benefits data, making necessary corrections and updates.
  • Serve as a point of contact for employee inquiries related to benefits, providing clear and concise explanations and solutions.
  • Stay informed about changes in benefit trends, laws and regulations, ensuring ongoing compliance and timely adjustments to policies.
  • Generate reports and analytics on benefit utilization, costs, and employee satisfaction, presenting findings to HR leadership.
  • Collaborate with cross-functional teams to develop and deliver employee education programs on benefits.

HRIS

  • Performs system maintenance, including assisting in the review, testing and implementation of HRIS system upgrades or patches. Collaborates with functional and technical staff to coordinate application of upgrade or fix. Maintains system tables. Documents process and results.
  • Manages projects and process improvement, including applying change management experience to facilitate movement to new levels of quality.
  • Recommends process/customer service improvements, innovative solutions, policy changes and/or major variations from established policy.
  • Provides production support, including researching and resolving HRIS problems, unexpected results or process flaws; performing scheduled activities; recommending solutions or alternate methods to meet requirements.
  • Responsible for HRIS role management, documentation, and data integrity.
  • Conducts training, including developing user procedures, guidelines and documentation. Trains clients on new processes/functionality. Trains new system users.
  • Maintains awareness of current trends in HRIS with a focus on product and service development, delivery and support, and applying key technologies. Examines trends in information systems training, materials and techniques.
  • Management of system content management landing pages.
  • Assists in development of standard reports for ongoing customer needs.
  • Through classes, reading or other mechanisms, continuously increases both HR knowledge and HRIS application/tools knowledge.
  • Function as payroll back up and support general business needs, as required.
  • Responsible for adherence to the Capital Rx Code of Conduct including reporting of noncompliance.

Minimum Qualifications:

  • Uses effective approaches for choosing a course of action or develops appropriate solutions to issues that arise.
  • Excellent organizational skills, verbal and written communication skills.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Strong analytical, attention to detail and problem-solving skills.
  • Proficient with Microsoft Office Suite or related software.
  • Proactively identify issues and deliver timely solutions.
  • 4+ years of experience in a HRIS role managing systems and data integrity.
  • 4+ years of experience in a Benefits administration role.
  • Strong sense of urgency for reaching goals while managing multiple requests concurrently.
  • Strategic, collaborative, and can thrive in a fast-paced environment.
  • SHRM Certified Professional (SHRM-CP) or SHRM Senior Certified Professional (SHRM-SCP) credential preferred.
  • Knowledge of all pertinent federal and state regulations, filing and compliance requirements affecting employee benefits programs, including the ACA, ERISA, COBRA, FMLA, ADA, Section 125, workers' compensation and DOL requirements.
  • Certified Payroll Professionals preferred.
  • Bachelor's Degree in Business, Finance, Human Resource Management, or related field OR equivalent, relevant experience in Benefits/Human Resources.
